A building management system (BMS) is a centralised computer-based control system that monitors and manages a commercial building’s mechanical and electrical equipment, typically covering heating, cooling, ventilation, lighting, and power. Regular maintenance keeps sensors, controllers, and software operating accurately, reducing energy waste and the risk of unexpected equipment failures.

What a building management system controls

A BMS integrates multiple building services into a single monitoring and control platform. Systems commonly managed through a BMS include:

  • Heating and hot water: boilers, heat pumps, district heating, and zone controls
  • Cooling: chillers, fan coil units, and comfort cooling
  • Mechanical ventilation and air handling units
  • Lighting controls and occupancy-linked scheduling
  • Electrical power monitoring and metering
  • Fire detection and emergency lighting system interfaces
  • Access control and security system interfaces
  • Energy performance dashboards and reporting

Older installations typically control heating and ventilation only. Newer platforms cover everything from lighting to access control, with remote access and real-time fault alerts built in.

Your obligations as a building owner or manager

Unlike fire alarms or lifts, there is no regulation that sets a fixed maintenance interval for a BMS. The duty that does apply comes from health and safety law, primarily the Health and Safety at Work etc. Act 1974 and the Workplace (Health, Safety and Welfare) Regulations 1992

Both require you to keep your building’s systems in a safe and functional condition. If a BMS fault causes heating or ventilation to fail and you cannot show the system was being looked after, that is a difficult position to defend. 

For organisations subject to the Energy Savings Opportunity Scheme (ESOS), a BMS that is drifting out of calibration will produce unreliable energy data, which creates problems at audit time. BREEAM-assessed buildings face a similar issue: performance ratings depend on the BMS reporting accurately. 

The practical starting point for most commercial buildings is annual servicing. For systems with life-safety connections, such as smoke ventilation, fire alarm interfaces, or emergency lighting, quarterly visits are more appropriate, because those services carry their own inspection obligations that the BMS needs to support reliably.

What BMS maintenance covers

The scope of a BMS service depends on the system type, age, and manufacturer. A routine annual visit typically covers the following.

Sensor and controller inspection

Every sensor and controller is checked to confirm it is working correctly. Faulty sensors are the most common source of BMS complaints: they produce incorrect readings that cause heating to overshoot or cooling to run unnecessarily, without showing an obvious error.

Calibration

Sensors drift over time and need periodic recalibration to stay accurate. Temperature sensors, flow meters, pressure sensors, and CO2 sensors are all checked and adjusted where needed. If they are reading incorrectly, the BMS acts on bad information, and energy waste and occupant complaints follow.

Firmware and software updates

BMS controllers run on firmware. Updates address known faults, security vulnerabilities, and compatibility issues with connected building systems. These updates must be applied by a qualified engineer with access to the correct programming environment for the specific platform.

Cleaning and physical condition check

Sensor faces, panel interiors, and accessible components are cleaned during each visit. Dust and contamination can degrade sensor accuracy and accelerate wear on mechanical components, particularly in plant room environments.

Data backup

BMS configuration can take days to rebuild if it is lost. A full configuration backup is taken at each service visit, so the system can be restored quickly if hardware fails.

Performance and fault log review

Modern BMS platforms log fault histories, override events, and performance trends. A review of this data during a service visit identifies recurring issues before they develop into failures or energy penalties.

For systems with connected plant, including chillers, boilers, or air handling units, the BMS service can be coordinated alongside the relevant plant maintenance visit to reduce access disruption.

How often should Building Management Systems be serviced?

The appropriate service frequency depends on the system’s role in the building and the complexity of the installation.

Annual servicing

Annual servicing is the minimum most BMS manufacturers recommend. It is appropriate for most commercial buildings where the system controls standard heating, cooling, and lighting.

Quarterly visits

Quarterly visits make more sense for systems controlling life-safety plant, buildings running 24/7, and older or more complex installations where you want faults caught earlier. Contract customers on quarterly visits get priority response and preferential rates.

Remote monitoring

Remote monitoring is available as an add-on for some BMS platforms, allowing faults to be identified and diagnosed between physical visits. Speak to us about whether your system supports remote monitoring.

A routine annual BMS service typically includes sensor and controller inspection, calibration, firmware and software updates, cleaning, configuration data backup, and a fault log review. The exact scope depends on the system platform and the number of connected points. For plant-connected systems, the BMS service can be coordinated alongside the relevant equipment maintenance visit.

There is no regulation that specifies a mandatory BMS maintenance interval. The obligation sits under the Health and Safety at Work etc. Act 1974 and the Workplace (Health, Safety and Welfare) Regulations 1992, which require building owners and employers to maintain safe conditions. A BMS failure that causes heating or ventilation to fail may constitute a breach of those obligations. Manufacturer guidance recommends annual servicing at minimum.

A functioning and calibrated BMS allows heating, cooling, and ventilation to respond to occupancy and environmental conditions rather than running to fixed schedules. Properly maintained BMS systems can reduce energy consumption on heating, cooling, and lighting by 15 to 30 per cent compared with buildings running on fixed schedules without automated controls. An uncalibrated or neglected BMS, however, can consume more energy than a manual system because incorrect sensor readings cause plant to run unnecessarily.

A building energy management system (BEMS) is a BMS with a stronger focus on monitoring and optimising energy consumption. The terms are often used interchangeably. Most modern commercial BMS platforms include energy monitoring and reporting functions as standard, so in practice the difference is mostly in the name.

Common signs that a BMS requires attention include: persistent occupant complaints about temperature or ventilation; rooms that do not respond as expected to control inputs; visible fault alerts on the supervisory screen; unusual energy consumption spikes; or controls running in manual override for extended periods. A service visit will identify the root cause and restore automated control.

In most commercial buildings, a BMS failure means losing automated control of heating, cooling, and ventilation. Building services revert to manual operation, which is more labour-intensive and usually less energy-efficient. For buildings with life-safety interfaces on the BMS, a failure may also affect monitoring of fire systems or emergency lighting.
