A commercial air conditioning service is a scheduled check that cleans the filters and coils and tests the refrigerant and electrical components to confirm the unit is cooling efficiently. Most commercial systems are serviced at least once a year, with higher-use systems serviced more often. Annual servicing is usually a condition of keeping the manufacturer warranty valid.
What is included in a commercial air conditioning service
A full service covers the parts that wear and the checks that keep the system efficient and safe. Each visit includes:
- Filter cleaning or replacement: the single biggest factor in efficiency and air quality
- Coil cleaning: condenser and evaporator coils cleaned to restore heat transfer
- Refrigerant check: levels and pressures checked, and for in-scope systems a formal F-Gas leak check by a certified engineer
- Electrical and controls: connections, sensors, and thermostats checked for safe, correct operation
- Condensate and drainage: drains cleared to prevent leaks and water damage
- Performance test: the system run across a full cycle to confirm it cools and heats to spec
- Service certificate: a record of the visit for your compliance file and warranty
How often should commercial air conditioning be serviced?
At least once a year is the accepted baseline, and it is usually a condition of keeping the manufacturer warranty valid. How often you need it beyond that depends on how hard the system works:
- Light use, such as offices and shops: an annual service is normally enough
- Medium use, such as busy retail and hospitality: twice a year is common
- Heavy or critical use, such as commercial kitchens, server rooms, and healthcare: quarterly or more

Signs your air conditioning needs a service
Book a service if you notice any of the following, as they usually mean the system is working harder than it should:
- Cooling is weaker, or the space takes longer to reach temperature
- Energy bills are rising without a change in use
- Unusual noise, or a musty smell when the system runs
- Water pooling around the indoor unit, or ice on the pipework

Commercial air conditioning servicing starts from £150+VAT per unit for an annual service, with multi-unit discounts: the more units on site, the lower the per-unit rate. Most commercial sites run several units, so the effective cost per unit falls quickly. We confirm a fixed price before we attend.
For ongoing cover, servicing can be bundled into an annual PPM and compliance contract from £385+VAT/year, which schedules your visits, includes F-Gas leak checks where required, and gives contract customers priority response and preferential rates.
Contract customers also have access to our 24/7/365 out-of-hours call-out facility, a separate service available to PPM contract customers only.

Busy retail and hospitality systems are commonly serviced twice a year, and heavy-use settings such as kitchens, server rooms, and healthcare quarterly or more. We recommend a schedule based on how hard your systems work.
Filter cleaning or replacement, coil cleaning, a refrigerant and, where required, F-Gas leak check, electrical and controls checks, condensate drain clearing, a full performance test, and a service certificate for your records.
Weaker cooling, rising energy bills, unusual noise or a musty smell, and water or ice around the unit are the common signs. If the system has stopped altogether or shows a fault code, that is a repair rather than a service.
There is no law requiring a routine service, but any work on the refrigerant circuit must be carried out by an F-Gas certified engineer, and systems above a set refrigerant charge must be leak-checked at fixed intervals. A straightforward split system service usually takes under an hour per unit, though larger VRF systems and sites with many units take longer. We give you a realistic time when we confirm the visit.
Yes. Servicing is preventive, but if a system has failed or developed a fault, our commercial air conditioning repair team attends reactively, and for urgent out-of-hours failures contract customers can use our emergency AC repair service.
